Work timing: 3pm to 12 midnight IST

Job Title: Legal Operations Specialist

Job Overview:

We are seeking an experienced and detail-oriented Legal Operations Specialist to join our legal department. The ideal candidate will have a strong background in legal operations, having previously worked in a legal department or law firm environment. You will play a key role in ensuring the efficiency of the legal team by managing processes related to invoicing, e-billing, budgeting, litigation reserves, and law firm management. This role requires excellent organizational skills, financial acumen, and the ability to collaborate effectively with internal and external stakeholders.

Key Responsibilities:

  • Invoicing & E-Billing:
    • Manage the entire billing process, including the review and processing of legal invoices.
    • Oversee the company’s e-billing system, ensuring accuracy and compliance with billing guidelines.
    • Communicate with vendors and law firms to resolve billing issues and discrepancies.
    • Track and report on legal spend, identifying cost-saving opportunities.
  • Budgeting & Financial Management:
    • Assist in developing and monitoring the legal department's budget, including forecasts for external counsel spend.
    • Ensure proper allocation of costs and manage the approval process for legal-related expenditures.
    • Maintain detailed financial records for tracking litigation reserves and other contingent liabilities.
  • Litigation Reserves Management:
    • Work closely with the litigation team to monitor and adjust litigation reserves.
    • Provide accurate reporting on reserves for internal financial purposes.
    • Collaborate with the finance department to ensure compliance with accounting standards and audit requirements.
  • Law Firm & Vendor Management:
    • Act as the primary point of contact for external law firms and legal vendors.
    • Ensure adherence to outside counsel guidelines and performance standards.
    • Manage vendor agreements, performance metrics, and relationship optimization.
  • Process Improvement:
    • Identify and implement process improvements to increase the efficiency and effectiveness of legal operations.
    • Develop and maintain standard operating procedures for billing, budgeting, and vendor management.
    • Collaborate with cross-functional teams to drive operational excellence across the legal department.
  • Reporting & Analytics:
    • Generate and analyze reports on legal spend, budget performance, and outside counsel performance metrics.
    • Present findings and recommendations to the Legal Operations Manager and General Counsel.

Qualifications:

  • Experience:
    • Minimum of 3-5 years of experience working in a legal operations role, either in a corporate legal department or law firm.
    • Strong understanding of legal billing, e-billing systems, budgeting, and financial reporting.
    • Experience managing litigation reserves and working with external law firms.
  • Skills:
    • Proficiency with legal billing platforms (e.g., Serengeti, Legal Tracker, CounselLink, or similar e-billing software).
    • Strong organizational and project management skills, with attention to detail and a focus on accuracy.
    • Excellent communication skills, both written and verbal, with the ability to collaborate across departments.
    • Ability to analyze and interpret financial data and legal budgets.
  • Education:
    • Bachelor’s degree in business administration, legal studies, finance, or a related field preferred.
    • JD not required.
  • Other:
    • Demonstrated ability to handle sensitive and confidential information with discretion.
    • Proficient in Microsoft Office Suite, particularly Excel, for budgeting and reporting.
